Electronic Onboarding: A Better Way to Welcome New Hires

A simple, secure way to onboard new employees with confidence.

Bringing on a new hire comes with a lot of moving pieces – and paperwork doesn’t need to be one of them.

Electronic Onboarding helps you streamline the new hire process by allowing employees to complete their onboarding forms electronically. This means fewer paper submissions, faster processing, and fewer errors that can delay payroll or direct deposit setup.

By adopting Electronic Onboarding, you’re not only saving time for your team – you’re giving employees a clear, guided experience that helps them feel prepared and supported before their first day.

  • Position or role
  • Work location and organizational levels
  • Employment status (full-time, part-time, or casual)

Employee Onboarding

📌 Important: Employees cannot be onboarded until employer information noted above has been completed.

The process is quick, employee-led, and easy to champion. Once you initiate onboarding for a new hire, they’ll receive an email invitation to create their ProService login and get started.

We recommend encouraging your employees to complete their onboarding paperwork as soon as possible. They can do so independently using a laptop, tablet, or mobile device – whichever is most convenient for them.

Below is a quick overview of what employees will experience once they create their account.

I-9 Approvals

Once your employee has submitted their electronic onboarding paperwork, the next step is completing Section 2 of the Form I-9.

After reviewing and verifying your employee’s documents, you can complete Section 2 electronically in Prism. Timely I-9 verification is essential to ensure your employee is authorized to begin work without delays.

Ready for the next step? Watch the tutorial below to walk through the I-9 verification and approval process.

No Computer? No Problem!

If your employee does not have access to a laptop or smartphone, or would prefer additional support, an in-office onboarding appointment can be scheduled prior to their first day of work.

Please note that onboarding must be initiated in Prism – or all required employee information must be provided in advance – so our team can fully support your employee during their appointment.

Whether your employee completes onboarding online or with in-person support, please make sure they have the following items available to complete their onboarding:

  • Valid Form I-9 documents – Original documents only; photocopies are not accepted. For a comprehensive list of acceptable documents, please visit this page.
  • Government-Issued Photo ID
  • Voided check or bank letter – Required for direct deposit enrollment
  • Any required licenses or certifications, if applicable
